Camp Policies
WHO WE ARE
Camp Flip provides exciting and enriching holiday adventure camps designed for children ages 5 – 12, welcoming families from across London to join the fun. Our adventure camps run for less than 14 consecutive days, which means we are not required to register with Ofsted. Nonetheless, we align our practices with the 2025 Statutory Framework for the Early Years Foundation Stage to promote children’s safety, health, and positive development.
ENROLMENT
Camp Flip’s placements are allocated in the order bookings are received – first come, first serve. Once full capacity is reached, a waiting list will be created with the following priorities:
- Children with siblings already attending Camp Flip.
- Families that require multiple sessions per week.
HOW TO BOOK
To make a booking, please fill out our registration form.
All bookings must be made via our official website. A confirmed booking and payment must be received before a child can attend Camp Flip.
CANCELLATIONS & REFUND POLICY
Once you have a place confirmed, fees are non-refundable—even if your child is unable to attend.
We understand plans can change, but as our camps are carefully planned in advance, we’re unable to provide credits or refunds for missed days.
CAMP FEES
Camp Flip offers flexible options based on your needs:
● A full day at CampFlip costs £45
● Optional extras include – £5 for lunch, £7.50 for early drop off (8:30 -9am) and £7.50 for late drop off (4:30-5:30pm) or £15 for lunch, early drop off and late drop off
● Full payment is required at the time of booking.
ARRIVAL & PICK-UP PROCEDURES
To ensure a safe and smooth start to each day:
● Camp staff will warmly welcome each child and record their arrival time.
● At drop-off, parents will be given a unique code which must be presented at collection.
● Children will only be released to authorized individuals with the correct collection code.
STAFFING & SUPERVISION
Our staff-to-child ratios are carefully managed to reflect the number, age, and needs of attending children. Activities are supervised at all times to maintain a safe and enjoyable experience for all.
DATA PROTECTION
We are committed to protecting your privacy. Any personal information shared with Camp Flip is securely stored and handled in accordance with General Data Protection Regulation (GDPR).
Our Data Protection Leads are Zahida Omar and Sumena Akhtar, who:
● Ensure Camp Flip meets its data protection obligations
● Respond to any data access or privacy concerns.
● Liaise with regulatory bodies when required.

MISCONDUCT PROCEDURES
Suspension/exclusion – persistent or severe misconduct (e.g. violence,
bullying, dangerous behaviour) may result in removal from the camp without refund.
Verbal warning – the child will be reminded of camp rules and asked to
adjust their behaviour
Time -out/reflection -the child may be temporarily removed from the
activity to calm down and reflect.
Discussion – staff will talk with the child about the behaviour, its impact,
and better choices.
Parent/Guardian contact – if misconduct continues or is serious,
parents/guardians will be informed.
Behaviour agreement – in some cases, the child may be asked to sign a behaviour plan to remain in camp.
CHILD SAFETY & WELLBEING: SAFEGUARDING COMMITMENT
Creating a secure, protective environment is central to Camp Flip’s mission. We act swiftly and appropriately in response to any concerns about a child’s wellbeing.
● Our safeguarding protocols comply with all current legal standards.
● Sumena Akhtar is the designated safeguarding lead and is on-site during all camp sessions to coordinate concerns and liaise with relevant authorities if needed.
● All staff are trained to identify signs of abuse and understand the
importance of vigilance in all environments, including online.

MOBILE PHONES & PHOTOGRAPHY
To protect the privacy and safety of all children:
● Personal devices such as mobile phones and smartwatches should not be brought to camp. If a device is brought in, it must be handed to staff at drop-off and will be returned safely at collection
● No personal devices, including mobile phones or smartwatches may be used to take photographs.
● Staff, visitors, and children must not use personal phones during camp hours.
HEALTH & SAFETY STANDARDS
Camp Flip prioritizes a secure, healthy setting for all children and staff. We follow the Health and Safety at Work Act 1974 and the Workplace Regulations 1992.
Our responsibilities include:
● Maintaining clean, well-lit, and ventilated premises.
● Providing a safe environment free from hazards.
● Ensuring all accidents or potential hazards are reported promptly.
● Conducting regular health and safety training for staff.
● Keeping emergency procedures and fire safety plans up to date.
● Ensuring risk assessments are completed twice a day, once in the morning and once in the afternoon.
Managers ensure compliance by providing resources, maintaining facilities, and conducting routine reviews of health and safety measures.
HYGIENE & FOOD SAFETY
We maintain high hygiene standards to ensure a safe and pleasant experience:
● Camp premises are cleaned daily.
● Soap and hand-drying supplies are always available.
● Children are guided to wash hands before meals and after using the bathroom.
● Food handling follows safe practices, and any minor cuts or injuries are properly covered.
SECURITY MEASURES
We take rigorous precautions to ensure all children remain safe on site:
● Children will not be allowed to leave the premises during sessions unless written permission has been provided.
● Entrances and exits are monitored during all operating hours.
● All visitors must sign in, state their purpose, and will never be left alone with children.
TOYS, EQUIPMENT, AND RISK MANAGEMENT
All toys and equipment provided at Camp Flip:
● Are age-appropriate and regularly checked for safety.
● Are kept clean, functional, and stored securely.
● Are assessed for risk before use.
Any broken or faulty items are removed immediately.
STUDENT MISCONDUCT
Camp Flip sets out clear expectations for children attending the holiday camp and outlines how staff will respond to incidents of misconduct. The aim is to provide a safe, enjoyable, and respectful environment for all children and staff.
Misconduct may include, but is not limited to:
● Bullying, teasing, or excluding others.
● Physical aggression (hitting, kicking, pushing etc).
● Verbal abuse, swearing, or use of inappropriate language.
● Disrespect to staff or refusal to follow reasonable instructions.
● Damaging camp property.
